Appendix 7: Graduate Student Office Regulations

Your comments and suggestions are always welcome.

With most of our graduate student offices filled to capacity the following are a set of general office rules and regulations that we have adopted to ensure a proper, productive, and pleasant working environment.  

If you can think of others, please let us know.

1.   Offices are to be used for work, not meetings.  It is important, therefore, that the noise level be kept to a minimum.  To meet with others, work on homework assignments in a group (group = 2 or more), or chat on cell phones or computers we ask that you please find somewhere other than at your desk to these things.

2.  Offices, all equipment, and lounge/meeting areas are provided for the use of EPP graduate students only.  At no time should any desk, table, computer or printer be occupied or used by others.

3.  No bicycles or extra furniture are permitted in ANY of the offices.  This rule has always been in effect, most have followed it but a few have not. It is important that we have everyone’s cooperation on this, no exceptions.

4.  No pets.

5.  Graduate Student Lounge.  This area is to be kept clean.  If you spill something on the carpet or furniture, please clean it up.  We have cleaning supplies in both Hamburg and Baker Hall.  If it is a large spill that is not removed when you clean it, send an email to the receptionist to let her know, so she can contact the university cleaning staff.   Please do not just walk away and leave it.  It is your responsibility to clean after yourself. No one on staff, or any of your colleagues wants to or should have to clean after you.

6.  Refrigerator in Grad Student Lounge.  There is a large refrigerator in the lounge as well as a microwave.  Experience has shown that no one will take the responsibility to clean it but many will use it (at least until it becomes so dirty that no one wants to use it).  As such, students should set up a cleaning schedule.  Everyone who will use the refrigerator and/or microwave should be assigned a day to clean them, twice a month is suggested.    By cleaning we simply mean tossing any food that remains in the refrigerator and wiping the microwave.  There should be few or no spills because we expect everyone to clean after themselves, as mentioned above.  J

Policing of the rules.  No one on staff will be able to monitor the area to make sure that the noise level is kept down, the lounge and refrigerator are kept clean, etc.  We ask that you please monitor  the area yourself.  If you see someone making a mess and not cleaning it, or if you see people meeting in the office areas raising the noise to an unacceptable level, please send Vicki an email right away.  She will contact the person maintaining your anonymity.  If you can think of a better way to handle this, we are open for suggestions.  Please keep in mind that we will not assign a staff member the duty of cleaning the grad area, nor will we hire a cleaning service to do it.

General Notes:

Computer connections in A012.   There are multiple computers and a printer in the cluster area.   If you experience problems with these machines you can email gripe@ece.cmu.edu detailing the problem.   As with the rest of the office, please keep conversations in that area to a minimum.

Phones.  You should contact the receptionist if there are any problems with your office telephone or for questions on telephone use.   The phone numbers for the graduate student offices are:
